20 questions to ask when you tour a Knoxville event venue

Capacity, catering rules, alcohol, load-in times, deposits. The checklist to bring on every venue walk-through so nothing surprises you later.

Round dining tables arranged around a floral ceremony backdrop

A venue tour is the one chance to see a room before you commit a deposit to it. Most hosts walk in, fall for the lighting, and leave without the answers that decide whether the day actually runs smoothly. Bring this list, take notes on your phone, and ask every venue the same questions so you can compare them honestly.

Space and capacity

  1. What is the maximum capacity, and what is it for my layout? A room's top number is usually for the tightest arrangement. Ask what it looks like with round dinner tables, a dance floor, a DJ and a buffet line all in the room at once.
  2. Where would the ceremony, dinner and dancing happen? If you are doing everything in one room, ask how the flip works and how long it takes.
  3. Are tables and chairs included? Rentals add up quickly. At Celebration, tables and chairs are included with the space.
  4. Where do vendors set up? Ask where the DJ, photo booth, cake table, gift table and catering staging go so you can picture guest flow.

Food and drink

  1. Can I bring my own caterer? Some venues require in-house catering or a short approved list. Celebration allows outside caterers, which gives you full control over the menu and the budget.
  2. Are food trucks allowed? If you want a taco truck at 10 p.m., confirm there is somewhere to park it.
  3. What are the rules on alcohol? Ask whether alcohol is allowed, whether a permit or licensed bartender is required, and who is responsible for securing it. Celebration allows alcohol with the proper permit.
  4. Is there a kitchen or prep area for caterers? Your caterer will ask this, so it saves a phone call later.

Timing

  1. Is there a minimum booking length? Celebration's minimum is two hours, which suits showers and short corporate events as well as full receptions.
  2. Does my rental time include setup and teardown? This is the question most people forget. If decorating takes three hours, those hours need to be in the booking.
  3. What time does music need to stop and guests need to leave?
  4. Can vendors drop items off the day before?

Setup, decor and cleanup

  1. Is setup and cleanup included or an add-on? At Celebration, setup and cleanup support is available for an additional fee, so you can decide whether your family handles it or you hand it off.
  2. What decor is allowed? Ask about candles, confetti, haze, hanging items and anything attached to walls or ceilings.
  3. How much can the lighting change? A bright room and a dramatic candlelit room photograph very differently. Ask to see photos of both.

Guests and logistics

  1. How much parking is there, and is it free?
  2. Is the venue accessible for guests who use wheelchairs or walkers? Ask about entrances, restrooms and any steps.
  3. Where can guests wait if it rains? An indoor venue takes the weather off your list entirely.

Money and paperwork

  1. How much is the deposit, when is the balance due, and what is the cancellation policy? Get these in writing before you pay.
  2. What exactly is in the quote? Ask for an itemized proposal so you can compare venues line by line instead of headline price to headline price.
